Mass Email Help

Create Mass Email
¬ Pages - "Mass Email to Eco-$mart Contacts",  "Mass Email from Non-Contact List"

Subject: The subject will show in the Subject line of the email that is sent.

NOTE: The subject is also the title of this particular email. It must be unique among the emails you have saved.

Greeting: Word or words to use as a greeting. Default is "Hello". No punctuation is necessary and the greeting will appear before the recipient's name as "Hello Name,".

Message: Write your email message here.

Link Comment: This is an introductory sentence or phrase about the link you will add next. You will need punctuation here. (Examples; "Click the link below to visit our website.", "Go to:")

Link: Enter the URL of the page you want the email to link. You may use the full path (http://www.eco-smart.com/catbuild2.php) or just a domain name/file name (www.eco-smart.com/catbuild2.php).

Closing: Word or words used to say goodbye to the reader. Default is "Sincerely". Like the greeting, no punctuation is needed.

NOTE: Emails are saved whenever you submit them. Mailing lists are not attached to the email until the original sending of the email. Read about mailing lists below.

Recipients

Eco-$mart Contacts:

Begin building your mailing list by checking the business types in the column to the right. Check multiple boxes to combine business types. Checking "All Representatives' at the bottom of the list will add all representatives to the list.

Outside List:
¬ Page - "Mass Email from Non-Contact List"

The two text areas (columns) to the right are for copying and pasting from EXCEL columns.

Full Name: Copy and paste the Name column that contains both first and last name.

Email: Copy and paste the Email Address column.

NOTE: The two columns must match number of rows. One common problem is if a new line is left at the bottom of one of the columns and not the other. A mismatch will produce an error message and an opportunity to correct the situation. But you can avoid it by being certain you have copied and pasted the columns exactly the same.

ALSO NOTE: You can use this form to send to several recipients on the fly. Simply enter their full names in the Names column each on its own line. Enter the corresponding email addresses in the Email column each on its corresponding line.

Submit
¬ Page - "Check Email"

A soon as you click submit on one of the email creation pages, your email content is saved. This is to protect you from losing it if a error should arise. You can continue with an email or delete it from the Sent Mail Page.

Check the Email and Addresses on this Page thoroughly. If things aren't right, now is the time to go back and edit them.

SENT MAIL CANNOT BE CHANGED OR TAKEN BACK!

Sent Email is Saved Email

Once you have sent an email to all on the list, the email may be held, deleted or recycled. Recycling simply means that the information and text in the previously sent email can be transferred to a new mailing list. This option will only show if the original email has already been sent to the entire original list.

NOTE:As long as an email is held in Sent Mail, the email addresses that it has already been sent to will be kept with it. You will not be able to send this email to these recipients again.

Mailing List
¬ Page - "Sent & Saved Email"

The limit of emails that may be sent from an automated mail function is 30. These are anti-spam rules put in place by the web host. When a mailing list that you build contains too many recipients, the first thirty are prepared to be sent, while the rest are placed in storage with the email when it is sent and saved. You may continue sending to the rest of the list at any time by going to the Sent Mail page. Each time you send, the program will send to the first thirty of the remaining list and save whatever is left over for another run if necessary.

Delete
¬ Page - "Sent & Saved Email"

Old Emails should be deleted from the data base on occasion. Too many will slow down the system and make errors more likely.

Opt Out
¬ Page - "Opt Out of Eco-$mart Mailing Lists"

Every email that is sent from this system contains this opt out paragraph:

"If you do not want to continue receiving email notices from Eco-\$mart, Inc., please click: 'http://www.ecosmartinc.com/ml_out.php?out=email@exam.ple' or copy and paste the link into your browser address bar."

Clicking on the link will go to a page on the website that allows the recipient to remove the address from Eco-$mart mailing lists. In the case of a Contact, the email marketing permission is removed. In the case of an outside email address, the address is added to a list of email addresses in the data base that the program is not allowed to send to.
